Chart of accounts and journal entries

The account tree everything posts to, and the manual entries for what nothing else covers.

Every sale, purchase, expense, handover and payment in Exceed Store becomes a balanced double-entry posting automatically. The chart of accounts is where those postings land — assets, liabilities, equity, income and expenses — and it comes ready to use. Manual journal entries exist for the few things nothing else generates: depreciation, accruals, a correction. Most businesses post fewer than ten a month.

  1. Open Accounting → Chart of Accounts. The default tree covers a trading business; add accounts under the right parent when you need finer detail, or import a whole chart from Excel if you are moving from another system.

  2. Accounts marked as system accounts — cash till, bank, receivables, sales, cost of goods — are the ones automatic postings use. Rename them if you like; do not delete them.

  3. Accounting → Journal Entries lists every posting, automatic and manual. Open one to see its lines and the document that produced it.

  4. To post manually, choose New, enter the date and a description, then debit and credit lines. The entry will not save until it balances.

  5. Accounting → Account Statement shows one account over a period with every line and a running balance — the detail behind any figure in the trial balance.

Good practice

  • Enter opening balances as one journal entry dated the day before you started, then let everything else post itself.
